Entry Requirements Into Canada
All non-Canadian attendees will need a passport to enter into Canada. Ensure your passport is up-to-date and will not expire within 6 months past your date of departure from Canada (passports must be valid until April 30, 2017).
If you need to apply for a passport, or renew your passport, leave yourself enough time to do so as the application process can take up to 6 weeks. Additional fees apply for expedited services. To apply for a US passport, visit http://travel.state.gov. For citizens of countries other than the US, please consult your local government for the passport application process.
Electronic Travel Authorization (eTA) for Travel to Canada
Visit the Government of Canada's website to determine if you will need a visitor visa and/or an Electronic Travel Authorization (eTA) in order to travel to Canada. An eTA requirement is only in effect for those traveling by air to Canada. The eTA is not needed if you are traveling by land or sea.
Note: Citizens of the USA and Canada do not need a visa or an Electronic Travel Authorization (eTA) to fly to or transit through Canada. Travellers with a valid Canadian visa do not need to apply for an Electronic Travel Authorization (eTA). US Green Card holders (permanent residents of the USA) will not need a visa, but will still require an eTA.
If you are traveling from a country where you will need an Electronic Travel Authorization (eTA) for Travel to Canada, please visit the Electronic Travel Authorization (eTA) application website. Please note that you will need a credit card as there is a $7 CAD application fee as well as a valid e-mail address in order to complete your application.
SMDM recommends applying for a Visa or Electronic Travel Authorization well in advance of travel to the Annual Meeting in October.
Submission of Applications:
Canada does not have a visa office in every country so it is important that attendees visit the website of the visa office responsible for processing their visa applications. Information is available on the website on how to submit a visa application and the documentation required.
This system allows clients to submit applications online.
Delegates that need a visa but require their passport for other travel purposes are strongly encouraged to submit their visa applications on-line (e-Apps). Delegates that choose to apply on-line will not have to submit their passport until a decision has been taken on their applications. If required, the visa office will send the applicant instructions on how and where to send their passports to finalize the visa process.
Visa Application Centres (VACs):
VACs are commercial service providers authorized by Canada to provide specific services to applicants. VACs provide a number of services including help applicants fill out forms, answer questions and ensure that applications are complete, thereby reducing unnecessary delays or refusals due to incomplete applications.
Applicants that are required to provide biometrics information as part of the visa application process can do so at a VAC. Additional information on biometrics requirements is available at the IRCC website. VACs send applications to Visa Offices and transmit decisions to applicants in a secure and confidential manner. VACs do not process visa applications and play no role in the decision-making process.
Please note that not all VACs are equipped to take biometrics if that requirment applies to you. You may need to travel out of city or even country to give biometrics. Please check your respective VAC website for further details.
Visa Applications Processing Times:
Processing time for visa applications vary depending on the office and the time of the year. Attendees should apply early for their visas, and submit complete applications including all supporting documents.
Please visit the IRCC website for information on the time it takes to process visa applications at the various visa offices.
Information for Canadian Visa Officers:
It is important to provide ALL information required for assessment by the Canadian visa officer. Please ensure you include the following documentation:
1. Letter of invitation from SMDM (Please e-mail letter of invitation requests to email@example.com and allow 3 business days for the letter to be e-mailed to you)
2. Proof of funds (bank statement)
3. Letter from your employer
4. Details of your accomodation
5. Copy of airline ticket or ticket confirmation
Please note that SMDM Annual Meeting attendees are responsible for their own travel and lodging costs and that SMDM will not issue registration refunds if an attendee is denied entry into Canada.
